With Utmost Fidelity for Preservation Purposes
Located in Hong Kong, we specialise in archival-grade digitisation of flat cultural heritage items and help institutions and collectors preserve the finest details of their prized collections.
In the past, our archival scanning projects have helped many achieve their commercial and academic objectives. Examples include:
1) Providing digital surrogates of small-sized originals for enlarged viewing in the museum context;
2) Capturing detailed image data of large-sized artwork for creating 1:1 reproduction prints for exhibition at state-level museums;
3) Submitting high resolution images of historically significant artwork and manuscripts for inclusion in industry-leading publications and catalogues; and
4) Digitisation of art, manuscript and photo collections for cataloguing and academic research.
Our high-end imaging system and editing workflow have continuously enabled us to deliver consistent, distribution-ready images at the highest qualities in a timely manner. If you or your institution have digitisation needs (such as high volume captures for inclusion into an existing archival database), we may be able to help.

Archival scanning is an intricate preservation process, designed to capture flat materials in their most accurate form, thereby creating a digital "surrogate" from the original. As such, it is intended to be performed only once, and is most ideal for preserving items that hold significant personal / commercial value to the owner, in particular those that are historically and culturally important.
Specifically, archival scanning technologies were developed to achieve the following objectives:
1) Detail preservation: high resolution capture (e.g. 1200DPI) using imaging systems with superior optical and signal processing capabilities allows fine details and textures of the original to be captured, which is vital for accurate reproductions;
2) Colour accuracy: dedicated imaging systems preserve a much wider range of colour information from the original, thereby ensuring utmost colour accuracy; and
3) Versatility: high resolution files support large-scale printing as well as enlarged viewing of very small parts from the original without compromising on image quality, thereby meeting the standards of exhibitions, publications and commercial usage.

No matter how well your paper-based assets are stored, they will always be susceptible to various degrees of physical deterioration over time. We have come across many collectors whose priceless artwork fell victim to silverfish etc. due to a combination of environmental factors, lack of proper storage equipment and infrequent condition check. Monetary losses aside, this is often a cultural heritage disaster which could have been easily avoided should these assets be digitised immediately after their acquisition.

In particular, for assets that have never been digitised in detail, no technology can help to recover against the loss of original information caused by silverfish, mould and fungus. An important part of history, whether of value to society or to individuals, may be lost forever.
Therefore, we strongly recommend collectors who have yet to implement any form of archival scanning systems to take action now and utilise the digitisation technologies available before it is too late.
Unless otherwise requested, scans will be done in 1200 DPI + Adobe RGB + 24-bit colour depth (8-bit per channel) + TIFF format. File sizes are estimated to be around 418MB for an A4 scan, 835MB for an A3 scan, and 1.67GB for an A2 scan.
We will also provide compressed JPEGs for easy reference.
By default, we only apply basic straightening to the images. To ensure the entirety of the object is preserved, we will leave moderate background padding along the edges.
Our scanner is colour-calibrated and in order to preserve colour accuracy of the original, no colour adjustments will be made. We are happy to scan up to two colour checkers that you provide for free if you wish to conduct further editing.
Please contact us at info@hkarchivalscanning.com for a free quote. In your email, please also include the details of the flat materials that need scanning (including type, size, quantity and whether they need to be taken out of a frame / album). If there is any deviation between the information provided and the originals received by us, we will revise the quote.
We scan oversized items in multiple A2 shots and, at an additional cost, can stitch into one seamless image. When requesting for a quote, please also provide the dimensions and a one-shot photo of the original so we can price more accurately.
For safety reasons we highly recommend that you deliver the items for scanning to our office (located at Hysan Avenue, Causeway Bay) in person. Our team is also happy to pick them up at an agreed location, subject to an additional pickup charge.
We will send you the scanned files via Google Drive. Please download the files immediately (and do not add shortcut) as they will be deleted after 7 days.
At an additional cost, we can also deliver via USB thumb drive.
Have a question about the services we provide? Send us the details on the items that need scanning (including type, size, quantity and whether they need to be taken out of a frame / album), and we will be happy to get back to you with a free quote and information.
